When you supply personal details to Bow Fitness, they are stored and processed for four key reasons:

1. To deliver treatment:

We need to collect information about your health to provide you with the best possible care. Your request for treatment, and our agreement to deliver it, forms a contract. You’re free to refuse to share this information, but if you do, we won’t be able to provide treatment.

2. For our Legitimate Interest:

We have a Legitimate Interest in collecting this information—without it, we would not be able to work effectively or safely.

3. To contact you about your care:

We may need to contact you to confirm or reschedule appointments, or to discuss issues related to your care. This too falls under Legitimate Interest, in this case for your benefit.

4. With your consent:

If you give consent, we may occasionally send general health advice or newsletters. You can withdraw this consent at any time—just contact us. Alternatively, you may prefer to follow Bow Fitness on social media for updates and health information.

We are legally required to retain your records for 8 years after your most recent appointment (or until age 25 if longer). After that, you can request for them to be deleted. Otherwise, we may retain them indefinitely to support any future care you may need.

Your records are stored securely in the cloud using Cliniko, a practice management system with two-factor authentication. Cliniko has confirmed compliance with GDPR and is committed to safeguarding your data.

We will never share your personal data without your written consent—except in rare legal situations (e.g. crime or national security inquiries).

Routine Access to Your Data Is Limited To:

Your practitioner, for treatment purposes

Reception/admin staff, for diary management and appointment coordination

You have the right to:

• Request a copy of your personal data

• Ask for corrections to factual errors

• Request deletion of your records (after the minimum legal retention period)
